  • SMS confirmations & alerts
    Confirmation to the customer, alert to your team. US carriers require the sending number to be registered first (A2P 10DLC); we file that during onboarding, and until it clears the same notifications go by email.
  • Square Appointments
    Where your book lives in Square, the appointment is written there rather than into a calendar nobody at the front desk looks at. Before it writes, it re-checks the time against Square's own availability, so a slot that filled while the caller was still talking is refused rather than double-booked. Being exact about the half that is not done: the times offered during the conversation still come from the connected Google Calendar — Square receives the booking, it does not yet drive the offer. Square also needs an Appointments Plus or Premium plan for booking at all, and writing into your book is a switch we turn on deliberately, never a side effect of connecting the account. The client is matched on their phone number, or created if they are new.

    No native connector. We book to Google Calendar or to Square where that is your system; syncing one of these platforms is a scoped build, and for some of them we will tell you it is not worth it.

What should stay human

  • No clinical or treatment advice
    Suitability, contraindications, and anything medical belong to your providers. It books the consultation instead.
  • A person makes the exception
    Waiving a late-cancel fee or fitting a long-standing client in is a relationship decision. It states policy; you make the call.
  • Consultations stay in the room
    The conversation that sells a treatment plan is the one your provider should be having, and we do not try to replace it.

And what the system won't do. It books against Google Calendar, or against Square Appointments where that is where your book actually lives. If your bookings run on Vagaro, Boulevard, or Mindbody, connecting to that system is scoped in the audit rather than assumed — for some platforms it is straightforward, for others it means running a calendar in parallel, and we will tell you which you are before you sign anything. It does not take payment or deposits over the phone, and it gives no clinical advice. The automated gap-filling workflow is a custom build, not something that ships configured.

Is this only an AI receptionist?

No. The receptionist handles booking, reschedules, and new-client calls, which is the highest-volume work. The practice also covers web chat and text, waitlist and gap recovery, client follow-up, review workflows, promotional content, and a knowledge assistant for the front desk.

Can clients book with a specific provider?

Yes, when that provider's calendar is connected. It recognizes the name, checks their real availability, and books with them. With no preference, it offers whoever is genuinely open.

Does it work with Vagaro, Boulevard, or Mindbody?

It books to Google Calendar natively. Connecting a salon platform is a scoping question we answer honestly in the audit — including telling you when the integration is not worth what it costs.
