AI systems built for studios where everyone is teaching

Your staff deliver the product during exactly the hours prospects call. Most of that volume is questions — schedules, programs, what to wear, is my kid in the right class — and buried in it are the trial bookings that decide your month. We build the systems that answer all of it, book the trials, and follow up with the ones who did not show and the members drifting away.

What we can help with

Where AI earns its place in a fitness business

A parent calls about classes for a seven-year-old while every instructor is on the mat. This is the flow we have run in production the longest.

These four have the clearest payback. The free audit surveys the rest of the business and tells you what is worth building after them — including when the answer is nothing.

Enrollment calls answered mid-classAvailable now

The parent calling at 5:40 PM gets a real conversation instead of a voicemail nobody returns until tomorrow.

Age-first qualificationConfigured for you

Age, then the program that fits, then real class times. The order that makes the rest of the call correct.

Schedule, make-up, and hold questionsConfigured for you

The routine member questions that pull an instructor off the floor, answered from your own policies.

Trial booked onto the real scheduleAvailable now

Written as a trial with the program and time, against genuine availability, per instructor where calendars are connected.

How it works for health & fitness

What we'd actually automate

Two of the shapes that recur in fitness business, start to finish.

What goes wrong today
  • Your staff are teaching when prospects call
Class time and call time are the same hours. The phone rings through the lesson and nobody can take it.
  • The first question is always age
Programs are age-banded. Until you know the child is seven, nothing else in the conversation can be answered correctly.
  • Most calls are questions, and they still cost you
Schedules, programs, what to bring, whether a class runs today. Individually trivial, collectively a part-time job — and every one of them interrupts someone who is teaching.

Integrations

What connects today, and what has to be built

Your AI should write into the systems you already run. Here is exactly which ones, and which ones are a build rather than a switch.

Connects today Available now

  • Google Calendar
Reads live availability, writes confirmed appointments back.
  • Call-completed webhook
Every finished call POSTs a structured record — caller, intent, what was captured, what was booked — to any endpoint you nominate.
  • Zapier / Make / n8n
The usual route to a CRM we have no native connector for.
  • Email notifications
Structured call summaries to the inboxes that need them.

Works once set up Configured for you

  • SMS confirmations & alerts
Confirmation to the customer, alert to your team. US carriers require the sending number to be registered first (A2P 10DLC); we file that during onboarding, and until it clears the same notifications go by email.
  • Square Appointments
For studios and trainers whose schedule runs on Square. Where your book lives in Square, the appointment is written there rather than into a calendar nobody at the front desk looks at. Before it writes, it re-checks the time against Square's own availability, so a slot that filled while the caller was still talking is refused rather than double-booked. Being exact about the half that is not done: the times offered during the conversation still come from the connected Google Calendar — Square receives the booking, it does not yet drive the offer. Square also needs an Appointments Plus or Premium plan for booking at all, and writing into your book is a switch we turn on deliberately, never a side effect of connecting the account. The client is matched on their phone number, or created if they are new.

Custom or not supported Custom build

  • Zen Planner, Kicksite, Mindbody, PushPress
No native connector. Records reach them by webhook through Zapier or Make; a deeper sync is a scoped build.
  • Membership billing
Not handled. Contracts and payment stay in your existing system, deliberately.
  • Access control & check-in
Custom, and rarely the first thing worth building.

Hear it in action

He has been meaning to call for weeks

Someone who has driven past the studio a hundred times finally rings, and what he actually wants to know is whether he will be the worst person in the room. The receptionist answers that, then books the free trial into the quietest class of the week.

  1. Caller

Hey, uh, I drive past you every morning and I've been meaning to call. Do you do a trial before you have to sign up for anything?

  2. AI receptionist

We do. First class is free, and nobody talks to you about membership until after it. Have you trained somewhere like this before, or would this be a first?

  3. Caller

I've done normal gyms. But it's all classes here, right? That's the bit I wasn't sure about.

  4. AI receptionist

All coached classes, usually eight to twelve people. Everything gets scaled to whoever's in the room, so there isn't a level you need to be at to walk in.

  5. Caller

Right. That was honestly the thing I was worried about.

  6. AI receptionist

It's what most people ask. What time of day suits you?

  7. Caller

    Evenings. After six.

  8. AI receptionist

There's a six fifteen and a seven thirty most weeknights. Tuesday's the lighter of the two, if you'd rather not walk into a full room your first time.

  9. Caller

    Yeah. Yeah, let's do Tuesday.

  10. AI receptionist

Six fifteen Tuesday. Can I get your name and a number?

  11. Caller

Devin Ortiz. Six one nine, five five five, oh nine two six.

  12. AI receptionist

Thanks Devin. Come ten minutes early so the coach can walk you through it, trainers and water, we've got everything else. We'll do the waiver on a tablet when you get there.

  13. Caller

    Cool. Thanks.

  14. AI receptionist

    See you Tuesday.

Where AI stops

What should stay human

  • Memberships are sold in person
It books the trial, which is what converts. Selling the membership is a conversation your team should be having face to face.
  • No coaching, medical, or injury advice
Injury questions, program suitability, and anything health-related go to a person. It books the assessment instead.
  • Retention outreach needs a human read
A member drifting away often has a reason worth hearing. Automation should surface them; a person should make the call.

And what the system won't do. It books trials and appointments; it does not sell memberships, take payment, or manage contracts. There is no native connector to Zen Planner, Kicksite, or Mindbody — records reach them by webhook today, and a deeper sync is a custom build. Trial reminders, no-show recovery, and retention outreach are custom workflows we build on top rather than things that ship configured, and we will tell you what they cost before you commit.

Questions

Health & Fitness questions

Is this more than an AI receptionist?

Yes. The receptionist handles enrollment calls and trial booking, which is the highest-value work. The practice also covers speed-to-lead callback, text and chat, trial reminders and no-show recovery, retention outreach, review workflows, enrollment campaigns, and a staff policy assistant.

Why does it ask for age first?

Because nothing else can be answered correctly until you know it. Program, schedule, and price all follow from it, so we collect it up front rather than discovering it at the end of the call.

Can it sell a membership over the phone?

No, and we would not recommend it. It books the trial, which is what actually converts, and your team closes the membership in person.

Build your health & fitness AI system

Start with a free 30-minute consultation and a written audit of a fitness business: how work actually moves through it, where it leaks time and money, what each fix is worth, and what we would build first. If the answer is that AI is not worth it yet, we say that.

Or skip the pitch — call our own AI receptionist on (858) 779-8073 and ask it anything.
