For studios and trainers whose schedule runs on Square. Where your book lives in Square, the appointment is written there rather than into a calendar nobody at the front desk looks at. Before it writes, it re-checks the time against Square's own availability, so a slot that filled while the caller was still talking is refused rather than double-booked. Being exact about the half that is not done: the times offered during the conversation still come from the connected Google Calendar — Square receives the booking, it does not yet drive the offer. Square also needs an Appointments Plus or Premium plan for booking at all, and writing into your book is a switch we turn on deliberately, never a side effect of connecting the account. The client is matched on their phone number, or created if they are new.

And what the system won't do. It books trials and appointments; it does not sell memberships, take payment, or manage contracts. There is no native connector to Zen Planner, Kicksite, or Mindbody — records reach them by webhook today, and a deeper sync is a custom build. Trial reminders, no-show recovery, and retention outreach are custom workflows we build on top rather than things that ship configured, and we will tell you what they cost before you commit.

Is this more than an AI receptionist?
Yes. The receptionist handles enrollment calls and trial booking, which is the highest-value work. The practice also covers speed-to-lead callback, text and chat, trial reminders and no-show recovery, retention outreach, review workflows, enrollment campaigns, and a staff policy assistant.
Why does it ask for age first?
Because nothing else can be answered correctly until you know it. Program, schedule, and price all follow from it, so we collect it up front rather than discovering it at the end of the call.
Can it sell a membership over the phone?
No, and we would not recommend it. It books the trial, which is what actually converts, and your team closes the membership in person.
