AI systems built for enrollment that arrives all at once
Education businesses live or die in a few weeks a year, and those weeks are decided on the phone by people who are mid-lesson. We build the systems that qualify the student, match the program, book the assessment — and keep working the families who called before the term opened.
Where AI earns its place in an education business
Enrollment season is four weeks long, happens entirely on the phone, and lands while every instructor is teaching.
These four have the clearest payback. The free audit surveys the rest of the business and tells you what is worth building after them — including when the answer is nothing.
The 4:20 PM call during lessons gets a real conversation instead of a message returned after the family enrolled elsewhere.
Age, level, and goal established first, so the recommendation is right the first time.
The parent questions asked hundreds of times a season, answered from your own documentation.
Against real availability, per instructor where calendars are connected.
What we'd actually automate
Two of the shapes that recur in education business, start to finish.
- ✕Instructors are teaching when parents call
The people who can answer questions about the program are, by definition, delivering it. - ✕Enrollment is seasonal and brutal
Weeks of near-silence, then a month where every missed call is a term's worth of tuition. - ✕Matching takes real questions
Age, grade, level, goal, and schedule. Get those wrong and the first lesson is a bad fit that does not renew.

What connects today, and what has to be built
Your AI should write into the systems you already run. Here is exactly which ones, and which ones are a build rather than a switch.
Connects today Available now
- Google Calendar
Reads live availability, writes confirmed appointments back. - Call-completed webhook
Every finished call POSTs a structured record — caller, intent, what was captured, what was booked — to any endpoint you nominate. - Zapier / Make / n8n
The usual route to a CRM we have no native connector for. - Email notifications
Structured call summaries to the inboxes that need them.
Works once set up Configured for you
- SMS confirmations & alerts
Confirmation to the customer, alert to your team. US carriers require the sending number to be registered first (A2P 10DLC); we file that during onboarding, and until it clears the same notifications go by email. - HubSpot
A native connector, not a Zapier hop. The caller is matched in HubSpot on their phone number or email and created as a contact if they are new, the lead is recorded, and the conversation is attached as a note on their record — so the history is on the contact before anyone on your team opens it. Built on HubSpot's 2026-03 CRM API using a Service Key, which keeps working after whoever set it up leaves the company; the legacy private-app tokens most integrations still use die with their creator's login. We push into HubSpot rather than sync both ways, and you connect your own portal during onboarding.
Custom or not supported Custom build
- ✕Student information systems
No native connector. Records reach them by webhook through Zapier or Make; deeper sync is a scoped build. - ✕Tuition billing & payment plans
Not handled. Enrollment and payment stay in your existing system. - ✕Learning management systems
Custom, and rarely the first thing worth building.
He is not sure which program he needs
A landscaping contractor rings about a coaching program without knowing which one he means. The receptionist works out the fit from the shape of his business, sets expectations about what the intro call actually is, and books it around the fact that his mornings start on a job site.
- Caller
Hi. I was on your site looking at the small business program, and I couldn't really work out how it actually runs.
- AI receptionist
Happy to explain. Are you asking about the group program, or one-on-one?
- Caller
I genuinely don't know. Either. I run a landscaping company, it's me and four guys, and I'm kind of drowning.
- AI receptionist
Then I'd start you in the group. Twelve weeks, one session a week, eight to ten of you, all running a business about your size. Small enough that you're talking, not sitting there listening.
- Caller
Right. And is there a call first, or do you just sign up?
- AI receptionist
There's a call, and it isn't a sales call, twenty minutes with Marcus working out whether it fits what you're actually dealing with. Sometimes he'll tell you it doesn't. He has Tuesday at four, or Friday at eleven.
- Caller
Friday. We're out on jobs by seven, so mornings are easier.
- AI receptionist
Friday at eleven. Name and a number?
- Caller
Hector Villarreal. Six one nine, five five five, oh six three eight.
- AI receptionist
Thanks Hector. He'll ask where your week actually goes, so it's worth thinking about that beforehand.
- Caller
Yeah. That's the whole problem, honestly.
- AI receptionist
Then it's the right conversation. Talk Friday.
What should stay human
- ✕It does not assess a student
It collects what a parent tells it and books the assessment that actually determines placement. Level is decided by a teacher. - ✕Enrollment and payment stay with your team
It books the assessment, which is what converts. Contracts and tuition are handled by people. - ✕Difficult conversations need a person
A struggling student or an unhappy family is a conversation for a director, and automation should route it there quickly.
And what the system won't do. It books assessments and lessons; it does not enroll students, take tuition, or manage contracts and payment plans. If your scheduling lives in a student information system, we book to a connected calendar and scope any sync during the audit. It will not assess a student's level — it collects what the parent tells it and books the assessment that determines it properly.
Education & Training questions
Is this only an AI receptionist?
The receptionist carries enrollment season, which is where the money is. The practice also covers speed-to-lead callback, text and chat, off-season waitlist capture, re-enrollment outreach, seasonal campaigns, review workflows, and an internal policy assistant.
Can it place a student in the right level?
It collects age, current level, and goal, and offers the programs that fit — then books the assessment that actually determines placement. It does not pretend to assess anyone over the phone.
Can it take enrollment and payment?
No. It books the assessment or first lesson, which is what converts; enrollment and payment stay with your team.
Build your education & training AI system
Start with a free 30-minute consultation and a written audit of an education business: how work actually moves through it, where it leaks time and money, what each fix is worth, and what we would build first. If the answer is that AI is not worth it yet, we say that.
Or skip the pitch — call our own AI receptionist on (858) 779-8073 and ask it anything.
